Plainstamp for schools and education

Run the school office from one board: bills, approvals, receipts and tasks.

For the administrator who gets twenty requests a day, the teachers and staff who buy things, and the board that wants oversight without being in the office.

What it fixes

Twenty people buy things

Teachers, the kitchen, maintenance, the front office. Receipts arrive by text, email and in the mailbox. In Plainstamp everyone sends from their phone, and every item lands in one inbox with the receipt attached.

The administrator is the bottleneck

Every purchase waits for one person. Spending limits let the kitchen buy up to $300 without asking, department heads approve their own staff, and only the big items reach the administrator.

January 1099s and the audit

Vendors are tracked with their W-9 and running totals, so 1099 season is a report, not a hunt. The log answers any question an auditor or board member asks.

How it works for schools and education

  1. Everyone sends in from the phoneSnap a receipt or invoice; Plainstamp fills in the vendor, amount and dates. Tasks and photos of finished jobs go in the same way.
  2. Approvals follow your rulesBy amount, by department, with chains of up to 8 people for large purchases. Approve from the notification, or hand approvals to a stand-in when you're away.
  3. Pay runs, budgets and reportsPay several bills at once, print the checks, track each department against its budget, and send the board a monthly summary by email.

What you get

Departments with their own managers and budgets

Spending limits so small purchases don't wait

Approval chains and stand-ins for when someone is away

Purchase orders matched to invoices

Email-in address for vendor invoices

Monthly summary email for the board

Plus everything on the features list: invoice reading, bills by due date, pay runs, budgets, reports, QuickBooks and Xero sync, and the Android app with phone notifications.

Questions schools and education ask

Can a teacher or staff member see only their own tasks?

Yes. The "assigned work only" role shows a person only the tasks given to them and lets them send in requests, with no access to transactions, vendors or payments.

How do we handle several campuses or divisions?

Departments: each has its own manager, approver and budget. Reports and bills can be filtered by department.

What does it cost for a school with 30 staff?

Business is $79 a month ($66 paid yearly) with unlimited people. The first 20 organizations get Business at the Team price for the first year; ask for a walkthrough.
